RESERVATIONS AND PAYMENTS: A $50.00 per person deposit is required for all trip packages. Make reservations by: 1.) mailing in the completed Reservation Application contained within Our brochure (one per trip participant), with Your deposit or full payment by enclosing bank certified check, money order, personal check or complete the credit card payment information box; 2.) calling Our toll free telephone numbers 1-800-SUNCHASE or 1-800-321-5911 and placing Your trip package deposit or full payment on credit card; 3.) FAX (970) 225-1514 Your completed Reservation Application with the credit card payment information box filled in; or 4.) purchasing any of Our trip packages from Our local representatives or through Your local travel agency. The payment of the required deposit or any partial or full payment for a reservation on any of Our trip packages shall constitute consent by You to all provisions of these GENERAL TERMS AND CONDITIONS FOR ALL SUNCHASE TRIP PACKAGES Your trip package deposit shall be applied by Usto Your full trip package price. Reservations are subject to space availability when Your Reservation Application and payment is received by Us. After payment is received by Our Fort Collins, Colorado office, We will issue You written confirmation stating the balance due along with final check in information. Only Our Fort Collins, Colorado office may confirm reservations. Make bank certified check, money order or personal check payable to "Sunchase Tours Inc. or Your local travel agency. Payment by credit card (American Express, Discover, MasterCard, VISA) will be accepted for deposit or full payment only. Credit card payment wil not be accepted for balance due payment. Trip package balance due payment must be received in Our Fort Collins, Colorado office on or before thirty-five (35) days prior to Your trip package arrival date along with the full payment for all items selected and listed in Our brochure as "optional item(s) and the administrative service charge. Be sure to allow 5-7 days for your payment to reach Us by the balance due date. If You fail to make Your payment when due, Your reservation wll be subject to cancellation without notice, and all cancellation fees as stated within the chart below will be applicable. Payment received after the balance due date must include a $10.00 per person late penalty fee. Your reservation, if cancelled. wll be reinstated provided there is space currently available at the destination for which Your original reservation was confirmed. Reservations may be made for any of Our trip packages within thirty-five (35) days of the trip package beginning subject to available space. Payment must include full trip package price. A signed Reservation Application must be received by Our office from each trip participant in order to complete the reservation. Full payment made within thirty-five (35) days of trip package beginning must be made by bank certified check, money order, credit card or travel agency check. All payments must be made in U.S. currency only. Never send cash through the mail. 3. CANCELLATIONS AND REFUNDS: If You cancel Your trip package. regardless of reason, the result is a costly process of letters, toll calls, record adjustment, re-documentation, refund checks, forfeited lodging deposits, etc. on Our part. All cancellations must be made with Our office and shall become effective only when confirmed by Our Fort Collins, Colorado office. A Trip Package Cancellation Confirmation will be sent by Us confirming Your cancellation. Refunds due You, if any, will be processed not more than thirty (30) days after the Thp Package Cancellation Confirmation is returned by You and is received by Us. The refund(s) will be made payable and sent to the person(s) who originally made the payment(s) and by the same form of payment(s). in order to receive a refund, the Trip Package Cancellation Confirmation must be received by Us no later than thirty (30) days after the completion of the trip package for which Your original reservation was confirmed. In the event of the cancellation of a member(s) within a unit, and if the remaining unit trip participants do not find a replacement, all remaining unit occupants will be charged the less than maximum unit occupancy per person trip package price. A 'No Show' shall be treated as a cancellation by Us. ADDITIONAL FEES: A $25.00 fee may be assessed to You by Us for any changes made to Your onginal confirmation. Each trip package participant is required to pay a $4.00 Administrative Service Charge at time of final payment. This additional fee has been established to cover the processing of Your reservation. We shall assess a $25.00 charge for any returned checks to Us for any reason. This fee along with a bank certified check or money order payment covering the original amount of the insufficient funds check must be received by Us within forty-eight (48) hours of Your receipt of Our verbal or written notification. If payment is not received. Your reservation wilt be automatically cancelled and subject to available space, if any, at the time and if We receive payment for the returned check along with the $25,00 charge. We do not re-deposit retuned checks for any reason. 5. REFUNDABLE DAMAGE/SECURITY DEPOSIT: During the registration and check in process, at some trip package destinations. each trip participant may be required to pay in cash or travelers checks (not personal check or credit card) a refundable damage/securty deposit. Our reservationists will Inform You of the amount, if any, required at the destination and property You select. This information will also be noted on Your Trip Package Confirmation. Depending on the destination, Our on site staff or the property management company staff will be collecting these refundable deposits during the registration/check in process. You will be issued a receipt for payment at that time, depending on the destination and Your accommodations, returm of Your deposit, less deductions (if any) will be made either at check out or within thirty (30) days after the conclusion of Your trip package. PLEASE REMEMBER TO BRING EXTRA CASH OR TRAVELERS CHECKS. YOU WILL NOT BE PERMITTED TO CHECK INTO YOUR UNIT WITHOUT THIS DEPOSIT BEING PAID. Your deposit will be held by Us or the property management company and will be used by Us or them to replace or repair damaged or missing items from Your assigned unit including payment for unit telephone bills that are left unpaid after You check out. We distribute at check in to one occupant of each unit a Lodging Accommodation Report Form on which to list visible damages. obvious missing items and general inventory items of Your assigned unit. By 10PM that evening all forms are to be tumed in to where they were distributed. These forms are then compared at check out to the general condition of Your assigned unit. The form is for Your protection and is each assigned unit occupants responsibility to complete. You along with all assigned occupants of Your unit are fully responsible for any and all damages and missing items to/from Your assigned unit and any and all telephone or incidental charges incurred by You or charged to Your unit. If We are made aware of damages to and/or missing items from Your unit during Your stay, You and all Your unit occupants will be required to pay in cash or travelers checks for the repairdreplacement of said items immediately. The charged amount will not be deducted from Your damage/security deposit. If damages are found in Your assigned unit at check out which were not listed on Your Lodging Accommodation Condition Report Form or if there are missing items or if the unit requires excessive cleaning or if unit keys are not turned in at check out: Your damage/security deposit shall be used first to cover the expense of repair and/or replacement of said items. If Your damage/security deposit does not cover the total cost to repair and/or replace said items, or i there was no damage/security deposit paid, You agree to reimburse Us or the property management company for said additional monies required to repair and/or replace said items. We or the property management company shall notify You within 30 days of Your departure of the additional expense in excess of Your damage/security deposit, if it was paid, after which You have ten days to remit full payment by bank certified check or money order. You agree to pay reasonable attomey's fees and expenses incurred by Us or the property management company in the collection of said monies due from You which are necessary to cover these expenses. Your damage/security deposit refund (if any), will be issued rounded down to the nearest $1.00, 6. LODGING ACCOMMODATIONS: Excepting twins and twin roilaways, all other beds sleep two (2) persons each including sofa sleepers We do not place inflatable air mattresses within units as additional sleeping spaces. At maximum unit occupancy a sofa sleeper will be utilized for two persons. In all cases, the base trom" advertised trip package price is per person based upon maximum occupancy of the unit. At an additional per person charge, less than maximum unit occupancy is available and pricing is available by calling our office. Where groups of individuals or families wish to make reservations for any of the trip packages, and wish to lodge together in the same unit, We must have all individual group or family member names on each individual tip participants Reservation Application. When completing Your Reservation Application, please note Your lodging in order of preference. If Your lodging preferences are sold out. We will notify You only if remaining available accommodations are at a different per person price. Requests for specific unit types, amenities, or location of unit within the lodging property cannot be guaranteed. When a unit is filed to maximum occupancy with adults a maximum of two (2) children under three (3) years of age may lodge within the unit at no additional charge. Linen and towel change or exchange, general unit cleaning and trash removal from the unit varies by property management and destination. Please ask at time of reservation for more specific information if desired. We will strive to accommodate handicapped trip package participants if We are requested to do so at least thirty (30) days pror to the beginning of Your trip package. We do not distinguish between smoking and non-smoking accommodations. Pets are not permitted on any of Our trip packages. No cooking whatsoever is permitted in hotel rooms including but not limited to; crock pots, microwave ovens, popcom poppers, coffee makers, etc. Each lodging property will have their own house rules, regulations, and security policies that each trip participant will be expected to abide by. If available to Us prior to Your arrival, You will be advised of these policies and procedures. We reserve the right to provide substitute lodging accommodations at Your confirmed destination for the same dates which are, in Our opinion, comparable to or an upgrade from the lodging property for which Your original trip package was confirmed. 7. TRANSPORTATION: Optional air, round trip airport/lodging check in site, and/or charter bus transportation is offered by Us in connection with many of Our trip packages. The passage contract between airlines and other transportation companies with the trp package participant shall constitute the sole contract between airlines and other transportation companies and the purchaser of these services. The services of ARC an IATA may be used in connection with Our trip packages. 8. PARTICIPANT RETENTION: We strive to assure the happiness and well being of all Our trip package participants. We reserve the right to refuse to accept or retain any person as a member of any of Our trip packages. In the event You engage in activities that We believe may harm or interfere with the enjoyment of the trip package by other trip package participants. You may be evicted and dismissed from the remainder of the trip package and no refund of the trip package price, administrative service charge, unused optional items or refundable damage/security deposit (i any) shall be made.
